SARASORIS

Custom software for Colorado home care agencies

Caregiver schedules, client visits, care notes and billing in one app, so the office knows who is where and families hear the right thing.

For owners of non-medical home care, home health and senior care agencies. Good caregivers are hard to find and harder to keep, and scheduling and paperwork should not make that worse.

Short answer. A custom app for a home care agency matches caregivers to clients by skills, availability and drive time, records visits and care notes from the caregiver’s phone, and totals hours for payroll and for billing by payer. It works alongside the electronic visit verification Colorado Medicaid requires, and fits agencies that WellSky or AxisCare do not suit.

Does scheduling take up most of the office’s day?

  • A caregiver calls out, and the office spends the morning finding cover.
  • Schedules are matched from memory: who is trained for what, who the client likes, who lives nearby.
  • Visit notes are on paper or in texts, and families ask questions nobody can answer.
  • Hours for payroll and billing are pulled together by hand each pay period.
  • Private pay, Medicaid, VA and long-term care insurance each need different paperwork.

What would the app do?

  • Client profiles with care plans, preferences and the caregivers they know
  • Scheduling that matches caregivers by skills, training, availability and drive time
  • Open-shift alerts when a caregiver calls out, sent to the right people first
  • Visit check-in and check-out, tasks and care notes from the caregiver’s phone
  • A family view, if you want one, showing the visits and notes you choose to share
  • Hours by caregiver and by payer, ready for payroll and billing
  • Training and certification expiry reminders

Why not WellSky or AxisCare?

WellSky, AxisCare, AlayaCare and similar systems are built for home care and suit many agencies, and we will tell you if one fits yours. A custom app fits when your services or payers do not match their shape, when you only need scheduling or the family view, or when their pricing starts to add up as you grow.

What about privacy and HIPAA?

Client records are sensitive, so access is by role: caregivers see their own clients, the office sees what it needs, and families see only what you share. If the app holds health information covered by HIPAA, we set out in Discovery what that requires of the app and its hosting, before anything is built. See how we handle your data.

Have you designed for older adults before?

Yes. Our Senior Fitness App was designed for older adults, with type, contrast, touch targets and wording chosen for people who may not see, tap or read an app the way younger users do. A family view or client-facing screen gets the same care.

How much does it cost to start?

Discovery is $1,500, and most projects cost $8,000 to $80,000. You get a fixed price in writing before the build starts. A common first piece is scheduling with open-shift alerts; visit notes, the family view and billing come next. See pricing, or get a rough range from the cost estimator.

Questions

Does it replace our EVV system?

No. Medicaid visits still need electronic visit verification through a system the state accepts. The app sits alongside it for scheduling, notes and private-pay visits.

Can caregivers use their own phones?

Yes. It runs in the browser on any iPhone or Android phone. An App Store and Google Play app costs extra.

Can families see visit notes?

If you want them to. You choose what each family sees.

Do we pay per client or per caregiver?

No. There is no per-user or per-client license from Sarasoris. Hosting is paid directly to the provider and is usually $50 to $200 a month.
