Custom software for Colorado event and wedding venues
Inquiries, tours, bookings, payment schedules, vendors and event-day plans in one app, so a busy season of weddings and events runs from one calendar.
For owners of wedding venues, ranches, mountain lodges and event spaces. Couples and planners expect quick answers and a polished plan; behind the scenes, too many venues run on an inbox, a calendar and a binder.

Short answer. A custom app for a venue tracks every inquiry from first message to final payment: tours, holds, contracts, payment schedules, headcounts, floor plans, vendors and the event-day timeline your staff works from. It connects to QuickBooks and your payment processor, and fits venues whose packages and spaces do not suit Tripleseat or HoneyBook.
Does every booking live in three places?
- Inquiries arrive by email, web form, phone and social media, and some slip through.
- A date is held on the calendar, but nobody remembers for whom or until when.
- Deposits and payment schedules are tracked in a spreadsheet and chased by hand.
- Headcounts, floor plans and vendor arrival times go back and forth by email until the last day.
- The weather backup plan exists only in the coordinator’s head.
What would the app do?
- An inquiry pipeline with tours, holds and follow-up reminders
- One calendar for every space, with holds that expire on their own
- Contracts, packages and payment schedules, with reminders before each payment is due
- A planning page for each couple or client: headcount, floor plan, menu, vendors and timeline
- Vendor arrival times and requirements, shared with the vendors who need them
- An event-day run sheet for staff, weather backup plan included
- Reports on bookings, revenue by season and where inquiries come from
Why not Tripleseat or HoneyBook?
Tripleseat, HoneyBook, Perfect Venue and similar products are good tools, and many venues should use one. A custom app fits when your spaces, packages or seasons do not fit their shape: a ranch with lodging and several ceremony sites, a venue that also rents rooms or equipment, or one that wants its client planning page to look and work its own way.
Can couples and planners use it too?
Yes. Each client can have a planning page to choose options, add details and see what is due, so less gets lost in email. It is a web page, so there is nothing to download.
How much does it cost to start?
Discovery is $1,500, and most projects cost $8,000 to $80,000. You get a fixed price in writing before the build starts. A common first piece is the inquiry pipeline with the shared calendar; client planning pages and run sheets come next. See pricing, or get a rough range from the cost estimator.
Questions
Can it take deposits and payments?
Yes, through a payment processor such as Stripe or Square, with each payment recorded against its booking.
Can it handle more than one space?
Yes. Each space has its own calendar and capacity, and one booking can use several.
Can it connect to QuickBooks?
Usually. QuickBooks Online lets other software send it customers, invoices and payments. We confirm what you need during Discovery.
Do we pay per user?
No. There is no per-user license from Sarasoris. Hosting is paid directly to the provider and is usually $50 to $200 a month.
