What do no-shows cost you?

For volunteer shifts or crew jobs: the hours and dollars lost each year when people do not show up.

Short answer. No-shows cost the hours of the missed shift or job plus the time spent finding cover. Multiply shifts per week by 52 and by your no-show rate, then by the hours lost and the value of an hour. For volunteers in Colorado, the 2025 value of an hour is $39.99.

What reduces no-shows

  • Reminders by text and email before each shift or job
  • Letting people swap or drop shifts themselves, early, instead of simply not coming
  • A clear view of open gaps, so cover is found quickly
  • Check-in that shows who is missing while there is still time to act

A volunteer scheduling app or a dispatch app does all of these.

Questions

What no-show rate should we use?

Your own, from last month’s sign-in sheets or schedules. If you do not know it, that is a sign check-in is worth recording.

Why count more than the shift itself?

A no-show also costs the time spent finding cover, rescheduling or apologizing to a customer.
